Booking Conditions
Trips booked through SAY HI Club. Last updated: October 10, 2026
These conditions apply when you book a place on a SAY HI Club trip. They sit alongside our general Terms of Service and our Privacy Policy. Where these conditions and the general terms differ on a point about a trip booking, these conditions apply.
1. Who you are booking with
Trips are organised by Sandra Gerstaedt, trading as SAY HI Club, a sole trader based in Germany. Full contact and business details are in our Impressum.
2. What you are booking
You are booking accommodation: a named room in a house that SAY HI Club has rented for a fixed period, together with shared use of that house and its grounds, and a small number of additional items set out on the trip page, such as a welcome dinner and a farewell dinner and a written local guide.
You are not booking travel to or from the destination, airport transfers, car hire, meals other than those named, excursions, entrance fees, activities, guiding, instruction, medical care or insurance. Optional extras mentioned on the trip page, such as a cooking afternoon, a language lesson or a wine tasting, are arranged and paid for separately and locally, and are not part of this booking or its price.
SAY HI Club does not sell flights, transport or packages combining travel and accommodation, and does not act as a travel agent or tour operator for such arrangements. You arrange your own travel, and your contract for that travel is with whoever you book it from.
3. Your booking, and when it is confirmed
Submitting the booking form is an offer to book the room shown. Your booking is confirmed when we confirm it to you in writing and your payment has been received. We may decline a booking, in which case any payment taken is refunded in full.
Rooms are allocated in the order bookings are completed. If a room is taken while you are completing the form, we will tell you before any payment is taken.
4. Price and payment
All prices are shown in euros, per person, for the room and the period stated, and are the full price for what is described in section 2. No booking fee, service charge or payment surcharge is added.
Payment is due in full at the time of booking unless we agree otherwise with you in writing. Your own bank or card issuer may charge you for currency conversion if your account is not in euros; that charge is between you and them and we never see it.
Where a trip page shows a higher price alongside the price you pay, that higher price is the price that will apply after the stated date. It is not a claim about a price previously charged.
5. Additional guests
Only people named in your booking may stay in the house. If you want to bring someone, they must be added to your booking and the additional person charge for that room must be paid before the trip. Some rooms cannot take a second person; the trip page says which. You may add a second person later if the room allows it, subject to availability and the charge shown.
6. Guest registration
Properties in Italy are required by law to register every guest staying in them. We therefore collect the full name and date of birth of every guest at the time of booking and pass them to the property for that purpose. See our Privacy Policy for how that information is handled.
7. No right of withdrawal
This is important, so please read it before you book. Contracts for the provision of accommodation for a specific date or period are excluded from the statutory 14 day right of withdrawal for distance contracts (§ 312g (2) no. 9 of the German Civil Code, implementing Article 16(l) of Directive 2011/83/EU). You therefore do not have a 14 day right to cancel this booking and receive an automatic refund. Our own cancellation terms in section 8 apply instead, and they are more generous than the law requires.
8. Cancellation by you
Cancellations must be sent in writing to hi@sayhi-club.com. The date we receive your message is the date that counts.
- Up to and including 30 November 2026: cancel for any reason and receive a full refund.
- After 30 November 2026: the room is yours. If we are able to re-let it, we refund what you paid less any costs we cannot recover. If we are not able to re-let it, no refund is due.
You may transfer your room to someone else at any time at no charge, as long as you tell us who they are and they accept these conditions. In practice this is often easier than a cancellation for everyone involved.
9. If we have to cancel
If we cancel a trip for any reason, including the property becoming unavailable or too few bookings for the trip to run, you receive a full refund of everything you have paid to us. We are not able to refund or compensate you for flights, transport, insurance or anything else you have booked separately, which is why we strongly recommend the insurance described in section 10, and why we try to confirm or cancel a trip as early as we can.
10. Insurance, which you need
Travel insurance is not included in your booking and SAY HI Club is not an insurer. We strongly recommend that you take out your own insurance when you book, covering at least cancellation and curtailment, medical treatment and repatriation, and your personal belongings. Because you book your travel separately from your accommodation, no single provider covers the whole trip for you, which makes your own cover more important rather than less.
11. The house, and living in it together
These are shared houses in the countryside, not hotels. There is no reception, no daily housekeeping and no staff on site. You share a kitchen and, depending on the room, a bathroom, and the group shops and cooks for itself apart from the dinners named in your booking.
You agree to treat the house, its contents, its owners and the other guests with reasonable care and respect, and to follow any house rules we pass on to you. You are responsible for any damage you or your guest cause beyond normal wear. We may ask someone to leave, without a refund, if their behaviour makes the house unreasonable for other people; we have never had to do this and do not expect to.
Photographs on the trip page show the actual house. Specific rooms, furnishings and facilities may change if the owner changes them, and the pool is unheated and cold outside the warmer months.
12. Your own fitness to travel
You are responsible for your own passport, visa, and any health requirements for Italy, and for being well enough to travel. The houses are in rural locations with uneven ground and stairs, and are not adapted for reduced mobility. If you have a condition, allergy or requirement that affects your stay, please tell us before you book so we can tell you honestly whether it will work.
13. Liability
We are liable without limit for damage caused intentionally or by gross negligence, for injury to life, body or health, and wherever liability cannot lawfully be limited. Otherwise our liability for slight negligence is limited to breaches of material contractual obligations and to the foreseeable damage typical of this type of contract. We are not liable for the acts or omissions of independent third parties you contract with yourself, including airlines, car hire companies, restaurants and activity providers.
14. Complaints
If something is wrong during your stay, tell us while you are there, so we have the chance to put it right. Write to hi@sayhi-club.com and we will reply. We are not currently a member of a consumer arbitration scheme and are not obliged to take part in one.
15. Law
German law applies. If you are a consumer, this does not affect the protection of the mandatory consumer law of the country you live in.
16. Changes to these conditions
The conditions that apply to your booking are the ones published at the time you booked. We keep a copy of them, and you can always ask us for the version that applies to you.
